Site Management controls settings unrelated to events in your calendar. This includes the scope of your categories and locations, and set site-global parameters like default time zone, layout, and email settings.

Manage Sites

If logged in as the Tenant Administrator the list of the available sites that you can edit will be displayed.



Site Management as a Tenant Administrator
To edit the information for a site, select from the Action drop down on the right, "Edit".

Basic Information

In this section of the Site Management page, you will configure the following:

  • Site Name
  • Description
  • Route
  • Time Zone
  • Region
  • Layout

Top

Name

The Site name is used by the administrator(s) to identify the site when editing it in site management. Enter the site's name here. If this calendar has multiple sites, each site must have its own unique name.

Description

A brief description of the site, this will be displayed on the calendar directory page. go.activecalendar.com/yourtenant/directory.

Route

This field defines the public facing URL (address) of your calendar site, it will be used by visitors to navigate directly to the application. The route will be added to this site's URL that appears after the domain name. Examples are provided below.

  • The route will be placed after your tenant address, If you have a single site, your URL will likely resemble the following example: http://go.activecalendar.com/Route/.
  • Alternatively, if you have multiple calendar sites, a non-tenant site route will appear as http://go.activecalendar.com/TenantSiteRoute/site/Route.
  • For example, if you would like a new academics calendar site - http://go.activecalendar.com/your tenant name/site/academics. type athletics in the route box.

Time Zone

Select the default time zone for your site here. The Time zone selected here will be applied to events by default. Additionally, this is the time zone used for all reporting information in the application. Persons viewing the site from other time zones will see an abbreviation that indicates the time zone for the event.




Top

Region

Select the region for your site here. The region selection controls how date and time related information is displayed. This setting is particularly useful for displaying the date and time of an event in an "International" format.

For example, selecting a region option of Germany would display event information in the following format: DD/MM/YYYY 18:30. Selecting English (United States) from the drop down would display event information in the following format: MM/DD/YYYY 6:30 PM
Additionally the region setting will change the Day of Week and Month to the selected regions language. For example, an event occurring on Saturday, December 27th would be displayed as Samstag, Dezember 27 if you had selected "Germany" as your region.

Layout

Choose the default layout(appearance) for this calendar site. Active Data Default is selected by default.

Privacy Settings

These options allow you to designate this site as "private". Events on private sites can only be seen by those having a credentials to log in to the site.

The following options are available:
  • Calendar Visibility
  • Private Event Aggregation

Calendar Visibility

Choose if this calendar should be publicly available, or visible only to authorized users.

  • Public: When selected the calendar will be available to all users, and visible to anyone.
  • Private: When selected the calendar will be restricted for viewing by only visitors with a valid username and password.

Private Event Aggregation

Aggregation allows for the cross-listing of events on multiple calendar sites. Control your Private Calendar aggregation settings here.

  • Disabled: When selected, events from this site can not be cross-listed on other calendar sites.
  • Enabled: When selected, events from this site can be shared with other calendar sites. Please note, private calendar sites can only share or cross-list events with other private calendar sites.

Catalogs & Aggregation Settings

In this section of site management control the availability of category and location catalogs, as well as how events are shared across (aggregated) multiple calendar sites. The following items are configured in this section:

  • Category Scope
  • Location Scope
  • Event Aggregation
  • Aggregated Event Display Settings

Catalogs & Aggregation Settings


Top

Category Scope

Controls the availability of categories that can be assigned to events created on this site. Choose from:

  • Global: All category data for this site will be supplied from categories created using the Global Categories icon in Site settings, maintained by a tenant administrator.
  • Site: All category data for this site will be supplied from categories at the site level, maintained by a site administrator.
  • Both: Category data for this site will be supplied from categories at both the site and tenant levels.

Location Scope

Controls the availability of locations can be assigned to events created on this site. Choose from:

  • Global: All location data for this site will be supplied from locations found in the Global Location icon in site settings, maintained by a tenant administrator.
  • Site: All location data for this site will be supplied from locations at the site level, maintained by a site administrator.
  • Both: Location data for this site will be supplied from locations at both the site and tenant levels.

Event Aggregation

Choose if this calendar site will display events from multiple calendar sites. A site can be configured to display only its events or to include events from other calendar sites. There are three options available:

  • Only display events created on or imported to this calendar site.
  • All public events from all public calendars.
  • Specific Calendar Sites & Global Categories.

Only display events created on or imported to this calendar site

  • Leaving this check box blank will display events created (or imported) on this calendar only. When viewing this calendar visitors will see events from your site only.


Top

All public events from all public calendars

  • Selecting this check box will automatically display all events from all public sites on this calendar. When viewing this calendar visitors will see events from your site and other sites.


Top

Specific Calendar Sites & Global Categories.

  • Selecting this check box will display two additional sections: a list of sites, and a list of global categories.
    • Selecting only a site will automatically display all public events from that site on your calendar.
    • Selecting only a category will automatically display events from all sites which have been assigned that category.
    • Selecting both a site and a category will automatically display all events from that site which have been assigned that category.
    • Selecting multiple sites will automatically display all public events from all sites selected.
    • Selecting multiple categories will automatically display events from all sites which have been assigned to any of the selected categories.
    • Selecting multiple sites and categories will automatically display all events from any of the selected sites assigned to any of the selected categories.

Aggregated Events Display Setting

This setting controls how events created on other sites and aggregated for display on your site are managed. You can choose to review each event prior to it being displayed on your site, or have them displayed automatically.

  • Off: This option only applies if you have selected, "Only display events created on or imported to this calendar site."
  • Display by Default: Aggregated events will be automatically displayed on your calendar at the same time they are crated on its origination site.
  • Review By Default: Aggregated events will be placed in a queue, your system administrator can then choose which events to display or block from display on the site.

Additional Settings

In this section, options that do not pertain to the Basic Information or Catalogs & Aggregation Settings are configured. In this area configure:

  • Imported Events Double Booking Rules
  • Map Service
  • Public Event Submission
  • Hide Calendar Sign-Up Forms
  • Configure Custom SMTP

Imported events rules

Imported events bypass prevent double booking rules: For premium license clients, determine the status assigned to events that cause a double booking when imported.

The following options are available:
  • "No, imported events will not double book a location."
    • Selecting this option will assign a pending status to imported events.
  • "Yes, imported events
    • Selecting this option will assign an approved status to imported events.

Map Service

This setting allows for you to display a map on the event details and location view pages. Two mapping service providers are supported, Google Maps, and Mapbox.

Please note, all "get directions" functionality is provided via Google Maps. When using Mapbox the user will be taken to google maps for directions when they click the "get directions" link.

Mapbox

To use the Mapbx service, your organization must provide the api access token issued by Mapbox when you signed up for the serivce.

To ensure full functionality of the Mapbox intergration, your access token will require the following scopes:
  • datasets:read
  • fonts:read
  • styles:read
  • styles:titles

Google Maps Key

To use the Google Maps service, your organization must provide the api key that Google gave when you signed up for the service. Event Publisher requires that your API key is authorized for Google Maps API V3.0 or higher.

Google API Key Requirements

  • Please note, Event Publisher was designed to utilize Google Maps API v3.
  • As such, it is required that the key that you provided has the appropriate services selected.
  • Additionally, Google API keys have a configuration option, "Referrers". This controls which websites your Google API Key is permitted to be used with.
  • In order to assure correct functionality with Google API keys Active Data Inc. recommends that you add your calendars website to the list of accepted referrers.

Allow Public Event Submission

This configuration option enables the site to allow users without assigned calendar roles to submit events for approval. These events follow the normal approval process as though they were submitted by an event author.

Group Access

This configuration allows for your administrator to control the access privledges for your Visitor Profile Users. Your calendar administrator will be able to select an existing user group to define these permissions. Please note, only groups with Event Permissions can be used.



To assign a Visitor Profile group click the "Add" link to the right of the group name.

Hide Calendar Sign-Up Forms

This configuration option disables the form used for site visitors to create a visitor profile. Visitor profiles are used when a site is configured to Allow public event submission, as well as manage event subscriptions, and optionally used in event registration.

Configure Custom SMTP

Email's sent from the calendar application, both workflow emails, and emails created by site visitors will be sent from Event Publisher using its default SMTP Server. Enterprise clients are encouraged to configure the calendar application with your own STMP information. This will allow you greater control and awareness of email sent from the calendar.

Clicking the Configure Custom SMTP check-box will display the following options.

SMTP Server

Provide the text name or identifier for the SMTP server, for example mail.active-calendar.com

SMTP Port

Provide the port number used for email communications from the calendar application.




Top

SMTP Authentication

Most SMTP servers will require authentication for requests to send mail on their behalf from external applications.

Click this check-box to provide authorization information, such as User Name and Password.

User Name

Provide the domain and username of the account to authorize email sent from the calendar application. For example, if your domain is "ourawesomeorganization" and the user name is "AwesomeUser" you would type: ourawsomeorganization\AwesomeUser

Password

Provide the password for the username of the account configured above to authorize email sent from the calendar application. For example, if your password is "Sup3Rs@f3" you would type: Sup3Rs@f3

Confirm Password

Provide the password for the username of the account configured above to authorize email sent from the calendar application. For example, if your password is "Sup3Rs@f3" you would type: Sup3Rs@f3

Enable SSL

Use this check box when using a Custom SMTP sever that requires SSL.

  • Selecting this Check box will allow for encryption of of email using SSL
  • Leaving this Checkbox Blank

Email From

If you specify an e-mail address here, all messages will come from that address. If you leave it blank, it will come from the default address: notifications@activecalendar.com.

Email Display Name

Emails will be sent from Event Publisher from the email address notifications@activecalendar.com. Display name lets you "spoof" a new first and last name assigned to the email address. For example, if the display name was set to Calendar Team, the email would be displayed as Calendar Team (notifcations@activecalendar.com)

Display Category Color Coding

Enable the display or the color codes assigned to categories.

Click the Checkbox to display category color codes to your visitors. These color codes will be displayed on the following views when using the default layout: Summary, List, Grid, and Details.

Site Image

Upload an image to be displayed on the "Calendar Directory" page. Users can access the Calendar Directory page via: http://yourcalendarurl/directory

  • This Image will be displayed as a 280 x 200 pixel image.
  • Images uploaded should have a 1.4:1 aspect ratio.

Upload a Site Image

To upload a site image, click the "Choose File" button.

Change or Remove the Site Image

To change or remove the Site image click the link titled, "Remove Image". This link is displayed below the currently specified Site Image.




Top

Security Settings

This area allows for you to control the use of https (Secure Browsing) when calendar visitors access your calendar site. Three options are availble:

  • SSL required for all pages: Selecting this option will redirect all traffic to use https.
  • SSL required for login page only: Selecting this option will redirect all traffic to your login page only to use https.
  • SSL not required: Selecting this option will not redirect the user to https.

Saving your work

When finished making changes, click Save at the bottom of this page to put the changes into effect.
